Vatrika – Refund & Cancellation Policy
At Vatrika Resort & Film City / Vatrika Galaxy Film Resort by CLUB GALAXY CORPORATION, we strive to ensure a smooth and transparent experience for all our clients. This Refund & Cancellation Policy covers advance payments, cancellations, rescheduling, refunds, and deliverables for photoshoot and pre-wedding services.
1. Advance Payment / Booking Fee
- All shoot bookings require a non-refundable advance payment to secure your date and time slot.
- The advance confirms our studio space, team, equipment, and administrative scheduling, and therefore cannot be refunded.
- A booking is valid only after the advance amount has been successfully received.
2. Cancellation Policy
2.1 Client-Initiated Cancellation
- More than 7 days before booking: Advance remains non-refundable. One-time rescheduling available (subject to availability).
- Within 7 days of the booking: No refund + rescheduling not guaranteed due to pre-arranged commitments.
- Within 24 hours: Full package amount may be applicable due to resource allocations.
2.2 Studio-Initiated Cancellation
- If we must cancel due to unavoidable circumstances (weather disasters, emergencies, technical issues):
- ✔ Full refund of advance payment OR
- ✔ Free rescheduling to a new available date
No additional compensation will be provided beyond the refund.
3. Rescheduling Policy
- Clients may reschedule once without extra charge if requested at least 72 hours prior.
- Last minute changes may result in extra fees depending on staff availability.
- Multiple reschedule requests may incur additional charges.
4. No-Show Policy
- Failure to appear at the scheduled time marks the booking as cancelled with no refund.
- New booking will require fresh advance payment.
5. Refunds for Completed Services
No refunds will be issued for:
- Completed sessions
- Delivered raw or edited photographs
- Albums or prints already in process
6. Editing & Revisions
- Editing style and artistic direction is assumed to be accepted upon booking.
- Minor revisions may be provided, but full re-editing is not included.
- Major revision may be chargeable.
7. Physical Deliverables
- Printed items are non-refundable unless physically damaged or defective.
- Issues must be reported within 48 hours with proof.
- Replacement will be provided free of cost.
